Texting is the Answer!

In the never-ending challenge of contacting parents, adult patients, or potential patients, consider a transition to texting for quick responses and results! Your target audience is never too busy to check their cell phones throughout the day and many workplaces allow cell phone use, taking the place of leaving messages on home answering machines or the inconvenience of receiving calls at work. Only 41% of over 21,000 households surveyed use a landline in addition to a cellphone per The Centers for Disease Control.

Utilize the Ortho2 texting feature to reach out to pending parents/adult patients and un-appointed Kids Club members. Prospective patients, mined from returned dental referral cards, will be texted via the practice cell.

Pending Patient Texts

Send a follow up text the day after an initial or recall exam, when treatment is recommended and records have not been booked.

     “Hi Andrea! This is Manuel at Hyman Orthodontics. It was so great        (meeting or seeing) you and John on Friday. I'm checking in to see if       I may assist you with booking John’s records appointment…the first       step on the road to a beautiful smile. You are welcome to respond         to this text with preferred records appointment times and dates or           call us at 323-726-8300.” 

If no response is received a second text may be sent 1-2 weeks later with an optional phone call between the texts.

     “Hi Andrea! This is Mary at Hyman Orthodontics. When you were in       for John's consultation, you and Dr. Hyman agreed that he will               benefit from orthodontic treatment. May I assist you with booking           John’s records appointment?

You are welcome to respond to this text with preferred records appointment times and dates or call us at 323-726-8300.”

Kids Club Un-Appointed Texts

Active Kids Club observation patients may have cancelled or not booked their recall appointment. Eliminate postcard mailings and reach out to this important segment of your practice growth plan with texts.

     “Hello Mary! This is Manuel from Hyman Orthodontics. It’s time for         Susan’s complimentary Kids Club recall appointment. Dr. Hyman           would like to meet with you and Susan to check on her progress. If         Dr. Hyman determines Susan is ready for orthodontic treatment, we       can certainly get her started on the consultation day. There is no           charge for the visit! You are welcome to respond to this text with             preferred appointment times and dates or call us at 323-726-8300.”

DDS Referrals

In Dr. William Hyman’s practice, we utilize a triplicate NCR dental referral card with the third portion returned to our office for direct contact with the potential patient. As the potential patient is not entered into the Ortho2 system until an appointment is made, we initiate contact via a phone call, followed by a text from our practice cell phone. If the initial exam appointment is agreed upon via text, call and complete the initial exam phone script to provide a complete introduction to your practice.

     “Hello Liz! This is Manuel from Hyman Orthodontics. Your dentist           asked me to contact you to book a complimentary consultation and       x-ray for you with Dr. Hyman. We can meet with you as early as             April 21st. You are welcome to respond to this text with preferred           appointment times and dates or call us at 323-726-8300.”
